Booking live music for your wedding or private event can feel like navigating a maze blindfolded. You start by staring at endless options, wondering how to pick the perfect musician who’ll set the right mood without breaking the bank or causing stress.

To help you, I’m here to share some live music booking tips that will make this process smoother, more fun, and ultimately, successful.

Whether you’re planning a romantic wedding in a charming countryside venue or a lively private party in Wales, England, or further afield, my tips will help you find the right solo acoustic musician to make your event unforgettable (hopefully, I'll be that musician!)

Why Live Music Makes Your Event Unforgettable

Imagine this: the soft strum of a guitar as you walk down the aisle, or a soulful voice filling the room during your first dance. Live music isn’t just background noise; it’s an experience. It creates atmosphere, stirs emotions, and makes memories stick like glue.

But here’s the catch - not all live music is created equal. The right musician can take your event from “quite nice” to “wow.” The wrong one? Well, let’s just say it can be a bit like showing up to a black-tie event in flip-flops (yes, been there too).

So, how do you find that perfect match? It starts with understanding what you want and knowing how to communicate it clearly.

Live Music Booking Tips: How to Choose the Perfect Musician

Alright, here’s where the rubber meets the road. Choosing a musician isn’t just about liking their sound (though that’s pretty important). It’s about matching their style, professionalism, and vibe to your event’s unique personality.

1. Define Your Event’s Mood and Style

Are you desiring of a laid-back, rustic wedding with folk tunes? Or maybe a classy, elegant affair with jazz standards? Knowing your event’s vibe helps narrow down your options.

2. Check Experience and Reviews

Don’t be shy! Ask for references or look up reviews online. I have a ton of testinomials and reviews on my website, Facebook page, and Google Business Page so you can see previous happy clients. A musician who’s played weddings and private events before will know how to read the room and keep things flowing smoothly.

3. Ask About Their Setup and Requirements

Will they need a lot of space? Special equipment? Knowing this upfront avoids surprises on the big day. If you want certain things, like lighting and a smoke machine, ask if they provide it.

4. Discuss Song Choices and Flexibility

Can they learn a special song for you? Are they open to requests? Flexibility is key, especially if you want a personalised touch. Head to my Wedding page and you will see everything I offer so you're in no doubt what to expect on the day!

5. Budget Wisely

Live music is an investment in your event’s atmosphere. Be clear about your budget but remember, sometimes spending a bit more means getting a lot more magic.

How to Book Live Music Without the Headaches

Booking live music can feel like a juggling act, but it doesn’t have to be a circus. Here’s a simple step-by-step approach to keep things stress-free:

Step 1: Start Early

Musicians get booked up fast, especially during wedding season. Aim to start your search at least 3-6 months ahead. Don't worry if it's later than this though - you can still contact musicians and even if they're busy, they often provide recommendations for you to check out.

Step 2: Reach Out and Chat

Send a friendly message or call. Ask questions, get a feel for their personality. You want someone who’s not just talented but easy to work with. I love speaking to clients on the phone as it's the bets way to get to know one another and find out exactly what they want. So, yeh, GET IN TOUCH!

Step 3: Listen to Samples or Attend a Gig

If possible, hear them live or listen to recordings. This gives you a real sense of their style and skill. Many clients of mine come to gigs beforehand or have seen me play live so they know what to expect on the day. Yes, online videos and recordings are great but ideally, you want to hear the musician in real life first.

Step 4: Confirm Details in Writing

Get everything in a contract or written agreement—date, time, fees, setup needs, cancellation policy. It’s not the most romantic part, but it saves headaches later.

I ALWAYS provide a contract, covering both me and YOU in case of unforeseen circumstances. Just ask about my contract beforehand and I will go through it with you.

Step 5: Keep Communication Open

As your event approaches, stay in touch. Share any updates or special requests. For instance, my wedding package includes 3 song requests learnt before the event - but these have to be sent over in advance of the wedding day. Letting me know a week before will not give me enough time to learn the songs to the high standards I set myself.

If in doubt of ANYTHING, or you have ANY questions, contact the musician!

Making Your Live Music Experience Truly Personal

Here’s a little secret: the best live music moments happen when the musician connects with you and your guests. So, don’t be afraid to get personal - no, not THAT personal!

  • Share your story: Tell your musician about how you met, your favourite songs, or special moments you want to highlight.

  • Create a playlist: Suggest songs that mean something to you, and ask if they can include them.

  • Plan the flow: Work together on when and where the music will play—ceremony, drinks reception, dinner, dancing.

This collaboration turns a performance into a heartfelt soundtrack for your day.

Why Choosing a Solo Acoustic Musician is a Game-Changer

If you’re wondering why a solo acoustic musician might be the way to go, here’s the scoop:

  • Versatility: We can adapt to different parts of your event, from soft background music to lively sing-alongs. I love a relaxed afternoon set for welcome drinks, but I also LOVE playing evening parties, seeing everyone sing along and dance like maniacs!!

  • Intimacy: Us solo performers can create a warm, personal atmosphere that big bands sometimes can’t match. So, if you want soemthing more personal and relaxed, acoustic is the way.

  • Cost-effective: Usually more budget-friendly than full bands, without sacrificing quality. As soon as the word "wedding" pops up, musicians and merchants think "££££££". But, that's not right. the first though for me is "Wow, I can be a part of their special day and provide something unique and special for both the couple and me!" When you request a quote form me, I will always give a fair price, never going overboard like many bands may do. You tend to save hundreds, if not thosuands when booking a solo artist compared to a band and us solo musicians can provide upbeat music just as well as many bands!

  • Easy setup: Less equipment means less hassle and quicker transitions.

I specialises in this sweet spot, offering performances that fit perfectly with weddings and private events across Wales and Southern England. I also play furtehr afield - just get in touch if you want music wherever you are, even abroad!

Your Next Step: Bringing Live Music to Life

Booking live music might seem daunting, but with the right approach, it’s a joyful part of your event planning. Remember these key points:

  • Start early and be clear about your vision.

  • Choose a musician who fits your style and personality.

  • Communicate openly and keep things flexible.

  • Don’t forget to enjoy the process—after all, this music will be the soundtrack to some of your happiest memories.
